14:20, treatment under way. Both hands on the patient, and out front the phone rings for the third time.
The AI secretary for your therapy practice
scoco.ai answers calls under your own rules, captures appointment and prescription matters in structured form, and hands them to your team ready to work with. Appointments go into your Google or Outlook calendar. No therapeutic advice, and no checking of a prescription.
Nobody can answer during a treatment. That is exactly the point.
A treatment lasts twenty to sixty minutes, and for all of it your hands are on the patient. Whoever reaches voicemail rarely leaves the details you need — and a callback that has to collect the prescription data afterwards costs time twice. Then there is the cancellation: an appointment cancelled two hours ahead is a gap you can fill. An appointment cancelled on voicemail is an empty treatment bench.
What is the gap you don’t refill costing you?
Treatments not refilled€464per month, based on 4.3 weeks
scoco.ai: from €49 per month (plus VAT).
A scenario with your own numbers — move the sliders.
Five calls you know
The same core from every discipline: appointment, series, cancellation, prescription details, waiting list. What scoco makes of them is a finished item of work rather than a line on a callback list.
New enquiry with a prescription
“I’ve been given a prescription for physiotherapy.” scoco captures the treatment, the number of sessions, the date of issue and the payer exactly as the caller reads them out, plus the name and callback number. Nothing is checked: not validity, not billability, not the diagnostic code.
Result for the team: a complete new enquiry you can plan with — instead of a callback that has to ask about the prescription first.
Course of appointments
“I need ten appointments over the next few weeks.” scoco takes the preferred windows, weekdays and period, and books what is genuinely free in your calendar. What does not fit comes to you as a request.
Result for the team: the course is prepared without anybody interrupting a treatment.
Short-notice cancellation
“I’m afraid I can’t make this afternoon.” scoco takes the name, the appointment affected and the reason, asks about a replacement slot, and reports the cancellation immediately.
Result for the team: you learn at twelve that the two o’clock gap is there — not at two o’clock.
Waiting list and waiting time
“How long is the wait with you?” In speech and occupational therapy the single most common call there is. scoco answers it from your knowledge base and, if wanted, takes the name, the request and when they can be reached for the waiting list.
Result for the team: the same answer does not have to be given twenty times a day, and the waiting list stays current.
Query from a doctor’s practice
“This is Dr Muster’s practice, it’s about a prescription.” scoco captures the organisation, the contact, what it relates to and the callback request, and forwards it by your rule.
Result for the team: the coordination reaches the right person, with context.
What reaches the practice
Text message to the practice, 14:22:
scoco - New enquiry physio - Practice Muster Patient: Ms Elke W. Callback: 0176 2223344 Prescription per caller: physio, 6 sessions, issued 11.08., statutory insurance Preference: mornings if possible, series on Tuesdays and Thursdays Home visit: no Note: prescription NOT checked, caller's details recorded only Received: 14:22 Full text in the inbox
The line “prescription not checked” appears on every handover exactly like that. scoco captures the details — whether the prescription is valid and billable is your practice’s decision.
The integration, honestly, in two stages.
Stage 1, demonstrable today: scoco checks your Google or Outlook calendar and enters appointments there. Stage 2, under discussion: a connection to your practice software. Tell us which one you use and we will tell you honestly what works today and what does not. We do not claim write access to a system we are not connected to.
Four disciplines, one phone.
Physiotherapy
New patient with a prescription, follow-up prescriptions and their validity, courses of appointments across the prescription period, short-notice cancellations, requests for a particular therapist. Here the series is the rule, not the exception.
Occupational therapy
Coordination around a child — parents, school and paediatrician all get in touch separately. Courses of appointments running for months that have to be replanned entirely when a timetable changes. And a long waiting list alongside slots left empty by cancellations.
Speech therapy
Months of waiting time that has to be explained on the phone over and over, worried parents who need calm, coordination with doctors’ practices and queries about the diagnostic code.
Podiatry
A tight sequence of short appointments during which nobody can reach the phone. Recall of chronic patients, the question of insurance or self-pay, and the short-notice drop-out that leaves the treatment chair empty.
Three ways to leave the treatment in peace.
Outside treatment hours only
Evenings and weekends. Appointments for tomorrow get made this evening, and that is exactly when you would otherwise have voicemail.
Only when the line is busy
Your reception stays the first port of call. Anyone who would otherwise get the engaged tone is recorded in full.
During the treatment
The forwarding kicks in when nobody picks up within a few seconds. If somebody is at reception, they answer as always.
Your practice software
Live and verified: Google and Microsoft calendars, Google and Microsoft contacts, the scoco team inbox, and handover by text message and email. We have no connection to a therapy practice system — and we would rather say so now.
- THEORG (SOVDWAER)on request
- Thera-Pion request
- MediFox therapieon request
- NOVENTI Ora, Optica Vivaon request
- Albo, iPraxon request
Your practice software is not connected. What works today: the appointment goes into your Google or Outlook calendar, the complete enquiry with its prescription details reaches the practice by text message and email, and everything is in the team inbox as well. Your team transfers it into the specialist system exactly as before, only with complete details instead of a callback list.
What scoco.ai expressly does not do for you
On your phone nothing is treated and nothing is checked. scoco captures and hands over — the judgement is yours.
- No therapeutic advice, no assessment of symptoms, no exercise suggestions.
- No checking of a prescription for validity, diagnostic code or billability. The details are captured, nothing more.
- No statement about cover, top-up payments or self-pay prices beyond what you have put in the knowledge base.
- No promise of a particular therapist or a particular qualification.
- No booking into times the calendar does not show as free.
- No substitute for the emergency services. Anyone describing an emergency is handled by the rule you have set, and pointed to 112.

FAQ
Frequently asked questions
My patients don’t want a robot.
The alternative today is voicemail or the engaged tone. scoco says at the start that an AI is speaking — the EU AI Act requires it, and we think it is right anyway — lets people finish, and puts calls through under your rules. What your patients mainly notice is that somebody picks up.
Can it take the prescription down correctly?
It captures the treatment, the number of sessions, the date of issue and the payer in structured form, exactly as the caller reads them out, and reads the callback number back digit by digit. It checks none of it: not validity, not the diagnostic code, not billability. Every handover says that the details are unchecked.
What if somebody rings in pain?
Then scoco gives no therapeutic advice, but follows the escalation rule you have set — and if an emergency is described, points to 112. Nothing is judged.
I have THEORG. Does that work?
The calendar route works today: appointments go into your Google or Outlook calendar. We have no connection to THEORG. Tell us which software you use and we will tell you honestly what works today — and what does not.
Doesn’t this just create new callbacks?
That is exactly the difference from voicemail: the item of work is already complete. Prescription details, preferred windows, series yes or no, home visit yes or no, callback number digit-exact. You ring back to schedule, not to ask what it is about.
We have months of waiting time, we don’t need new enquiries.
Then the benefit is not acquisition, it is the waiting list and refilling. A cancellation scoco takes is reported to you immediately — while the gap can still be filled. And the question about waiting time is answered from your knowledge base instead of interrupting your team.
What does it cost?
From €49 per month (plus VAT), for 500 included minutes. Four weeks free, no payment details. Cancellable monthly, no setup fee.
