scoco.ai

09:40, mid-preparation. The drill is running, and out front the phone rings for the fourth time.

The AI secretary for your dental practice

scoco.ai takes appointment requests and cancellations in full, answers standard questions from your own knowledge base, and puts patients in pain straight through under your own rules. No new practice software, no new number, no hardware in the surgery.

Voicemail doesn’t take patients in pain.

On Monday morning everyone rings at once. Whoever gets the engaged tone dials the next practice — and stays there. Breaking off a treatment costs you your focus, your schedule and the rest of the morning. A cancellation nobody takes is a chair standing empty for an hour, and you only notice at the end of the month. And the new patient who rings in the evening does not ring again the next morning.

Five calls you know

Every one of them ends in a concrete action at scoco.ai — not in a voicemail somebody has to listen back to.

  • Patient in pain

“I haven’t been able to stand it since last night.” scoco recognises the urgency words you have defined, takes the name, callback number and description of the complaint, and puts the call through under your rule — or notifies you immediately.

Result for the team: the call rings through at reception, with a spoken note of what it is about. Nobody has to guess.

  • Appointment request

“I need to come in for a check-up.” scoco asks what it is about and when would suit, and books into a genuinely free slot in your Google or Outlook calendar.

Result for the team: the appointment is in the calendar before you finish the treatment.

  • Cancellation and rescheduling

“I’m afraid I can’t make ten o’clock tomorrow.” scoco takes the cancellation with the appointment, the name and the reason, and asks straight away about a replacement slot.

Result for the team: the slot is reported free while it can still be filled — not first thing the next morning.

  • Hygiene and prophylaxis

“When is my scale and polish due again?” scoco takes the request with the patient’s name and callback number, and books it or hands it over, depending on your rule.

Result for the team: a complete line on the prophylaxis list instead of a callback note.

  • Standard question

“Do you do whitening consultations? What are your opening hours?” scoco answers only from your knowledge base. What you have not put in it, it does not invent — it takes it down as a callback request.

Result for the team: reception does not answer the same question for the twentieth time.

What reaches reception

Text message to reception, 09:41:

Existing patient: yes (per caller)

Full text in the inbox

The same thing in the team inbox: full transcript, duration, number, priority, contact created automatically. No audio recording — only the transcript and the summary.

One assistant, three stages. Start small.

  • After hours only

The lowest-risk setup: from 6 pm to 8 am and at weekends, scoco answers. During the day nothing changes for your team. That is how most practices spend the first two weeks.

  • Only when the line is busy

Reception stays the first port of call. Anyone who would have got the engaged tone reaches scoco instead. The morning wave is caught without anybody changing anything.

  • Always

scoco answers first every time, sorts by your rules and puts through what should be put through. For practices that want to keep the front desk free for the people in the waiting room.

Your practice software

Live and verified: Google and Microsoft calendars, Google and Microsoft contacts, the scoco team inbox, and handover by text message and email. Everything else is planned or on request — and we tell you, rather than talk around it.

  • Dampsoft DS-Winplanned
  • CGM Z1 / Z1.PROplanned
  • charly (solutio)planned
  • evidentplanned
  • Doctolibon request

Your practice software is not directly connected yet. What already works today: the appointment lands in your Google or Outlook calendar, the full summary reaches reception by text message and email, and everything is in the team inbox as well for looking up. Transferring it into DS-Win takes your team seconds — with complete data instead of a voicemail.

What scoco.ai expressly does not do for you

No dental judgement. scoco recognises the urgency words your practice has defined and follows the rule you have set. The judgement stays with you.

  • No diagnosis, no assessment of pain, no treatment recommendation.
  • No statement about what the health insurer covers, about a top-up payment, or about the cost of a specific treatment.
  • No judgement of its own about whether a call is urgent. Only your word list and your escalation rule apply.
  • No booking into slots the calendar does not show as free.
  • Nothing in the handover about the complaint beyond what the caller said, and always marked as the caller’s own account.

FAQ

Frequently asked questions

Surely a patient in pain shouldn’t end up talking to an AI.

They don’t. You set which phrasings count as urgent for your practice. If the caller says one of them, the call rings straight through to you, with a spoken note of what it is about. scoco does not decide whether something is urgent. scoco recognises what you have defined as urgent.

Doesn’t it sound like a robot?

Judge for yourself: call our demo practice or play the voice samples. For honesty’s sake the AI always says in the greeting that it is an AI — the EU AI Act has required that since August 2026. What callers mainly notice is that somebody picks up.

Doesn’t this just create more callback work?

Two paths, no third. Either the appointment is in the calendar — then there is nothing left to do. Or you get a complete handover with name, callback number, request and time. The difference from voicemail: you know what it is about before you call back, and the number is right, because it was read back digit by digit.

We work with Dampsoft. Does that work?

Your practice software is not directly connected yet, and we do not claim otherwise. What works today: the appointment lands in your Google or Outlook calendar, the full summary reaches reception by text message and email, and everything is in the team inbox as well. Transferring it into DS-Win takes your team seconds, with complete data instead of a voicemail.

What happens to the call data? We have a duty of confidentiality.

There are no call recordings. Only transcripts and summaries are created, with defined retention periods and deletion on request. The servers are in Falkenstein in Germany and processing takes place in the EU. You get a data processing agreement under Article 28 GDPR from us.

On Monday mornings ten people ring at once.

Then scoco takes ten calls at once. There is no engaged tone and no queue — that is the difference from a second person on reception.

How do we test this without unsettling our patients?

Start after hours. For two weeks scoco answers only from 6 pm to 8 am and at weekends; during the day nothing changes for your team. You read the transcripts as they come in and adjust the rules. Only then do you decide whether to switch to “when the line is busy” or to always.

Try it. Right now.

Call our demo business — it picks up.
