Second week of May, deadlines closing in. Your case handler is deep in a set of accounts, and the phone rings for the twentieth time about the same receipt.
The AI secretary for your tax firm
scoco.ai takes queries about paperwork, appointment requests and deadline questions in structured form, routes them to the right team and hands them over in full. The advising is still done by you.
In deadline week the phone doesn’t ring. It rings through.
Four to six weeks a year everything happens at once. Nobody hires for that. The most common question is “what paperwork are you still missing?” — asked of somebody who is in the middle of a set of accounts. An interruption does not cost the three minutes of the call, it costs the three minutes plus getting back into the file. And the time your tax assistant spends on the phone appears on no invoice.
What is the phone really costing you?

What about DATEV?
Live and verified: Google and Microsoft calendars, Google and Microsoft contacts, the scoco team inbox, and handover by text message and email. Everything else is planned or on request.
- DATEVplanned
- lexofficeplanned
- sevDeskplanned
- Addison (Wolters Kluwer)on request
- Stotax, Simba, Agendaon request
We have no direct DATEV connection today, and we do not claim one. What works today: the call is routed to the right team, goes to the right person by text message and email, and sits complete in the team inbox. Honestly, for your firm’s most common call that is also enough: “what paperwork is still missing?” is not answered in DATEV, it is answered by the colleague who knows the file.
Five calls you know
None of them needs a tax qualification — and that is exactly why none of them should pull your case handler out of the file.
Paperwork and receipts
“What else do you need from me?” scoco takes the client name, the request and the callback number, and routes the call to the team you have set for it. Anything you have stored as a standard answer, scoco answers directly from your knowledge base.
Result for the team: the call lands where the file is being worked on, with complete details.
Appointment request
“I need an appointment with Mr Berger.” scoco asks what it is about and when would suit, and books into a genuinely free slot in the Google or Outlook calendar — or hands it over in structured form.
Result for the team: the appointment is made without anybody leaving the file.
Deadline question
“When does this have to be filed by?” scoco takes the client, the matter and the callback number. No information about a specific deadline — that is advice.
Result for the team: a prioritised callback instead of a voicemail with no context.
Payroll
“I’ve got a new starter on the first and someone off sick.” scoco takes the client, the type of notification, the person affected and the date, and routes it to the payroll team.
Result for the team: the notification lands in payroll directly, not via reception.
Prospective client
“I’m looking for a new tax adviser.” scoco takes the name, callback number, legal form, sector and what they need. No statement about terms or about taking them on.
Result for the team: a qualified enquiry you return when you have time for it — not in the middle of deadline week.
What reaches the right team
Text message to the team responsible, 10:23:
scoco - Query re paperwork - Firm Muster Client: Schreinerei Hoffmann GmbH Caller: Mr Hoffmann Callback: 0621 334455, reachable until 16:00 Request: Asks which receipts are still missing for the 2025 accounts. Sent the bank statements last week. Routed to: Payroll team (per your stored rule) Received: 10:23 Full text in the inbox
Routing is by the request, or by a number list you maintain per team. A mapping of “client X belongs to colleague Y” does not exist today, and we do not pretend otherwise.
Three ways to get through deadline week.
Only when the line is busy
Your reception stays the first port of call. Anyone who would otherwise get the engaged tone is recorded in full and forwarded.
Only during deadline week
You switch the forwarding on when it gets tight and off again when it is over. The plan is cancellable monthly and does the same thing every month — you do not pay for peak capacity you need six times a year.
As a front office
scoco answers first every time, filters out cold calls and sales calls, puts clients through under your rules and summarises everything else. Particularly effective for the firm’s owner.
scoco.ai does not advise on tax. It is not allowed to.
Assistance in tax matters is reserved by law to those authorised to give it. When such a question comes, there is exactly one answer: take it down, route it, book a callback. What scoco takes on is everything a front office takes on.
- No information about deductibility, tax due, assessments, appeals, structuring or the treatment of a set of facts.
- No deadline information in an individual case. Not general information either, because it can be wrong in an individual case.
- No information about the status of an engagement, a return or a filing.
- No statement about fees, terms or whether an engagement will be accepted.
- No passing on of client information to callers. scoco cannot check who is calling.
- General procedural notes only where you have stored them word for word in the knowledge base, and only as a reading-out of what you stored.

FAQ
Frequently asked questions
Our clients want to speak to their case handler, not an AI.
They still do. scoco only answers when he cannot — otherwise the alternative would be the engaged tone or voicemail. The difference: instead of “please call back later”, your client gets a commitment that the right person will be in touch, and your colleague gets the full context before she rings back.
Is an AI even allowed to answer the phone in a tax firm?
It is allowed to answer, record and route — that is front-office work. What it is not allowed to do, and does not do with us, is give assistance in tax matters: no deadline information, no statement about deductibility, no view on an assessment. When such a question comes, it is taken down and called back.
What about DATEV?
DATEV is not directly connected today, and we would rather tell you now. What does work: the call is routed to the right team, goes to the right person by text message and email, and sits complete in the team inbox. For your firm’s most common call — the question about missing paperwork — that is the whole journey.
We only need this during deadline week.
Then use it only during deadline week. The plan is cancellable monthly, there is no setup fee and no minimum term. You switch the forwarding on when it gets tight and off again when it is over.
What happens to the client data?
There are no call recordings. Only a transcript and a summary, with defined retention periods and deletion on request. Servers in Falkenstein, processing in the EU, a data processing agreement under Article 28 GDPR. The duty of confidentiality under § 203 StGB is why we decided against recordings from the start.
Does it filter cold calls too?
Yes, and for the firm’s owner that is often the strongest effect. In front-office mode known contacts ring through as always, unknown callers are asked what it is about, and sales calls land as a summary in the inbox instead of in your morning.
How long does setup take?
About ten minutes for the call forwarding, together over the phone if you like. On top of that comes the knowledge base: opening hours, who handles what, standard answers. That is an afternoon, and afterwards it rarely changes.
Try it. Right now.
