scoco.ai

21:30. Somebody has just decided to change something, and they are ringing you.

The AI secretary for your gym

scoco.ai turns enquiries into booked appointments: a trial session straight into your calendar, the prospect captured in full, the callback number confirmed digit by digit. Class timetable, opening hours and membership rates it answers from your knowledge base.

The decision gets made in the evening. Your front desk is unstaffed then.

Whoever decides at half past nine rings at half past nine. By the next morning the decision has gone again. At 17:30 the floor is full and the desk is besieged — and that is exactly when the phone rings most. Most of those calls are questions already on your website: timetable, prices, opening hours, notice period. And in January six months’ worth of enquiries arrive in four weeks.

Five calls you know

One is a lead, three are standard questions, and one expressly must not be dealt with on the phone.

  • Trial session

“I wanted to come and see what it’s like.” scoco takes the name, callback number, training goal and preferred time, and books straight into a free slot in your calendar. The callback number is read back digit by digit.

Result for the team: the appointment is made, instead of somebody chasing a number tomorrow that may have been written down wrong.

  • Rates and contract question

“What does it cost a month?” scoco answers from your knowledge base, word for word as you wrote it, and offers a trial session there and then. No individual terms, no commitments.

Result for the team: the price question turns into an appointment instead of a hung-up phone.

  • Class and standard question

“When is the back class? How late are you open? Is there parking?” The most common call. scoco answers it from your knowledge base.

Result for the team: the desk stays free for the members standing at it.

  • Freeze and membership pause

“I’m abroad for three months, can I pause?” scoco takes the name, the membership number as the caller gives it, the period and the request. No commitment, no confirmation.

Result for the team: a complete task you answer in writing — the way the contract requires.

  • Cancellation

“I’d like to cancel.” scoco takes the request and explains from your knowledge base how a cancellation becomes effective with you. It accepts no cancellation and confirms none.

Result for the team: the matter is documented and goes the intended route — with no argument about whether somebody cancelled over the phone.

You still send the confirmation to the prospect yourself today — an automatic text message to the caller is on our roadmap and does not exist yet.

Three ways to take the pressure off the desk.

  • Evenings and weekends

From 9 pm and on Sundays. That is exactly when the decisions get made, and exactly when you would otherwise have voicemail.

  • At peak time

From 5 to 8 the floor is full and the desk is besieged. scoco catches what would otherwise ring out.

  • In January

The year’s wave of enquiries arrives in four weeks. The plan is cancellable monthly — you switch the forwarding on when the wave comes.

Your membership system

Live and verified: Google and Microsoft calendars, Google and Microsoft contacts, the scoco team inbox, and handover by text message and email. Everything else is on request.

  • Magiclineon request
  • EGYMon request
  • MySports, Fitmanager, Sportbiton request

Your membership system is not directly connected — with no provider in this market. For the call that counts that hardly matters: a trial session is booked in your calendar, not in Magicline. At that point the prospect is not a member, has no membership number and is in no system. All you need is an appointment and a number that is right.

scoco.ai does not accept a cancellation.

A cancellation has to take a particular route with you, and that route is in the contract. scoco explains what you have stored, notes the request and hands it over — it confirms nothing.

  • No accepting of cancellations and no confirming of them.
  • No deadline information in an individual case.
  • No individual terms, no discounts, no contractual commitments.
  • No commitment about a freeze, a pause or a change to a membership.
  • No training, nutrition or health advice. Anyone reporting pain or an injury is handed to a person — and in case of doubt, to a doctor.
  • No information about an existing membership account to callers.

An extra person on the front desk costs you €2,955 a month, plus employer contributions, plus holiday, plus sick days — and at half past nine at night, when the decision gets made, they are at home. scoco.ai costs from €49 per month and books the appointment while you are locking up.

FAQ

Frequently asked questions

A trial session is sold in person.

Yes, in the gym. On the phone it is only about the appointment happening. scoco takes the name, the goal and the number and enters the appointment — the selling is then done by you, by a person, on the floor. The alternative at half past nine at night is not a personal conversation, it is voicemail.

Can scoco accept a cancellation?

No, expressly not. It explains how a cancellation becomes effective with you, notes the request and hands it over. A cancellation confirmed over the phone would be a problem for both sides, so the option does not exist in the first place.

We use Magicline. Does scoco book into it?

No, and here that matters less than elsewhere: a prospect arranging a trial session is not yet a member and is in no system. The appointment goes into your Google or Outlook calendar, and the details by text message and into the team inbox.

Does the prospect get a booking confirmation?

Not automatically today — a text confirmation to the caller is on our roadmap but does not exist yet. What you get is the appointment in the calendar and the complete details; you still send the confirmation yourself. We would rather tell you now.

Most calls are questions about the timetable.

Those are exactly the ones scoco takes off you. Timetable, opening hours, prices, parking, how to cancel — everything you store once, it answers word for word. And on a price question it offers a trial session rather than letting the call end.

We only really need this in January.

Then use it only in January. Cancellable monthly, no setup fee, no minimum term. Four weeks are free anyway — that already covers a good part of the wave.

What does it cost?

From €49 per month for 500 included minutes, plus VAT. Four weeks free, no payment details.
