From how many calls a day is an AI phone assistant worth it?

An AI phone assistant is worth it as soon as the value of the calls it saves exceeds the monthly fee. At around €99, a common price point, a single saved job a month is often enough. In calls: several a day with some regularly missed puts you above the threshold; two a week usually does not.

Die Faustformel: verpasste Anrufe mal Auftragswert gegen die Monatsgebühr.

The threshold calculation, step by step

A method presented as a scenario, not a statistic. Three quantities set the threshold:

  1. Missed calls per month (not all calls — only the ones lost today: not answered, voicemail with no message, busy)
  2. Conversion share: how many of those would have become an appointment or a job?
  3. Value per usable call: your average job or appointment value

The threshold is met when: missed calls × share × value ≥ the monthly fee.

Trade scenario: 6 missed calls a month, one in three a job, averaging €600 → €1,200 against €99. Twelve times over the threshold. Nail salon scenario: 10 missed calls, one in two an appointment, averaging €40 → €200 against €99. Still clearly above. Side-business scenario: 3 missed calls, one in five usable, averaging €80 → €48 against €99. Below the threshold — here voicemail is the economically correct choice.

Thought of as calls per day: the rules of thumb

Because nobody walks around with formulas — three orientations (each scenario logic; redo them with your own job value):

  • Under ~5 calls a week: rarely worth it, unless every single call is high value (law firms, agents handling large properties).
  • From ~5 calls a day with revenue attached: almost always above the threshold once calls are visibly being lost — the typical range for trades, practices and salons.
  • From ~15 calls a day: the question inverts. It is no longer "is it worth it?" but "what allowance do I need?"

What the calculation tends to forget — in both directions

In the assistant's favour: the sum above counts only saved jobs. It prices in none of the soft effects — no more interruptions on site, no evening voicemail session, documented requests instead of scraps of paper. Against the assistant: some callers would rather not speak to an AI and hang up; the rate depends on the industry and the quality of the system (more in "Do callers notice they are talking to an AI?"). If you want to be conservative, set the conversion share deliberately low — if the sum still clears the threshold, the decision is robust.

The practical route to your own number

  1. Count missed calls for a week (call list plus empty voicemail messages), multiply by 4.
  2. Estimate the conversion share conservatively — or measure it during a trial: the assistant documents every request, so by the end of the trial you know exactly.
  3. Set it against the monthly fee. The full cost side is in "What does an AI phone assistant cost?", and the value of the missed calls in "What does a missed call cost?".

Frequently asked questions

Is there a fixed number of calls above which it always pays?

No — the threshold depends on what your calls are worth. A law firm can be above it at two calls a week; a corner shop can be below it at twenty a day. So calculate rather than generalise.

Is it worth it if I hardly ever miss a call?

Then the revenue calculation is neutral, and what remains are the soft effects: undisturbed work, documentation, out-of-hours cover. Whether those are worth €99 to you is a legitimate matter of taste, not of arithmetic.

How do I measure the conversion share without guessing?

During the trial: the assistant logs every request. At the end of the trial you simply count how many entries turned into appointments or jobs — that is your rate.
