AI phone assistant for trades: never lose another job to voicemail
10:12 on site. Both hands on the pipe, the phone rings. Miss it and the caller lands on voicemail — and in many cases simply rings the next business on the list. An AI phone assistant picks up instead: it takes the request, reads a dictated callback number back digit by digit, and puts emergencies that match your rule through.
Why the phone is the bottleneck in the trades
Three documented figures set out the situation:
- 60 % of consumers say small businesses are always or often hard to reach by phone (YouGov/Enreach, 2023).
- 36 % of companies cannot fill open positions, at least in part (DIHK skilled-labour report 2025/26) — the office hire who would solve this often simply cannot be found.
- 93 % would prefer AI from Germany (Bitkom, September 2025, 604 companies with 20 or more employees).
On top of that comes the particular shape of trade work: the call arrives while you are working. Anyone on a roof, under a lift or holding a pipe cannot pick up — and that is exactly the moment that decides who gets the job.
What the assistant actually handles day to day
The new customer: "What does a service cost with you?" — the assistant answers from the knowledge base you provided, and only from it. It never invents. It takes the name and callback number, and reads a dictated number back digit by digit. No scrap of paper.
The appointment request: the assistant checks the real calendar (Google Calendar or Outlook) and books into free slots — not into wishful thinking.
The emergency: burst pipe, heating failure in winter, power cut — if the call matches your emergency rule (the "Trades, plumbing & electrical" industry template already comes with one), the assistant puts it through to the emergency number you have set, instead of noting a callback for tomorrow. If nobody answers there, it takes an urgent message.
The regular during a peak: after a storm, lots of people ring at once. The assistant handles several calls at the same time, up to a number guaranteed by your plan (see pricing), instead of working through them one by one.
The customer or fitter who speaks another language: good systems switch language mid-call — and your summary still arrives in your account's language, with the transcript translated.
After every call: the summary by email and, if you store a mobile number, by SMS — transcript and summary in a shared inbox for the office and the boss. Five minutes in the evening and everything is read, nothing forgotten.
What it does not handle — the honest boundary
The assistant does not diagnose on the phone, does not negotiate prices, and does not replace a technical conversation with the person who knows the job. What it does is make sure that conversation happens at all — with the right number, a clear request and the correct urgency. And some callers would rather not speak to an AI at all; how many, and what helps, is covered openly in "Do callers notice they are talking to an AI?".
Setup: not an IT project
The route is the same at practically every provider, and takes about 10 minutes with scoco.ai:
- Choose the greeting and the voice — several voices are available with audio samples.
- Enter your knowledge and rules: services, area covered and typical prices (as "from" figures) in the knowledge base, opening hours under business hours, your emergency rule under rules.
- Switch on call forwarding — delayed after a few rings, when busy, and when unreachable. Your number stays, and nothing is rebuilt (guide: "Setting up call forwarding: the four routes").
The result: you pick up as always when you can. When you cannot, the assistant takes over instead of voicemail.
What it costs — and what to weigh it against
Among providers that publish their prices, monthly packages with included minutes range from free and very small plans to entry plans around €150 a month; a common price point is around €99 (as of 2 November 2026); details and the traps are in "What does an AI phone assistant cost?". The honest comparison for a trade business is simple and needs no market statistic: what is your average job worth? If your average job is worth well above the monthly price, a single saved job a month already covers the cost. Do the sum with your own numbers — and during a trial, simply count what would previously have ended up on voicemail.
Frequently asked questions
Does the AI understand the terminology of my trade?
The terms that are in your knowledge base, yes — which is why filling it in (services, typical requests, equipment types) is part of setup. Test it during the trial with your hardest vocabulary.
What happens in a genuine emergency at night?
If the call matches your emergency rule, the assistant puts it through to the number you have set. If nobody answers, or no number is set, it takes the case down as an urgent message, and after the call you get an email and, if you have stored a mobile number, a text message. It is not an emergency service: if anyone is in danger, call 112.
Do I have to change my number or rebuild anything?
No. Existing number, one forwarding rule, done. You can switch the forwarding off at any time; on a mobile that also deletes the voicemail forwarding, which you then set up again.
What if I want to pick up myself?
That is exactly the intent: with delayed forwarding your phone rings first. The assistant only takes what you would otherwise have missed.
Will my customers notice it is an AI?
Yes — the assistant says so in the greeting, which has been required since August 2026 and builds trust. What matters is that something happens next: the request is taken and the callback comes.
