# Roles and permissions

> Everyone in your account has one of four roles — Owner, Admin, Member or Viewer — and the role decides what they see and can do in the dashboard.

https://scoco.ai/en/docs/roles-and-permissions/

scoco has no individual permissions to tick. Every person has exactly one role, and the role comes with its permissions. This page shows what each role can do, how to change a role, how to transfer ownership and how to make two-factor confirmation mandatory for everyone.

## The four roles

- **Owner**: everything, including billing and deleting the account.
- **Admin**: configures the assistants, the team and integrations.
- **Member**: works through calls, messages and appointments.
- **Viewer**: sees the overview and the reports, for example for your accountant.

## Who can do what

| | Owner | Admin | Member | Viewer |
|---|---|---|---|---|
| See **Overview**, **Inbox**, **Contacts** and **Appointments**, use Ask scoco | ✓ | ✓ | ✓ | ✓ |
| Assign and resolve calls, write notes, reply by text message, edit contacts | ✓ | ✓ | ✓ | — |
| See **Reports** | ✓ | ✓ | — | ✓ |
| Change the **Average job value** and the **Value of a working minute** in **Reports** | ✓ | ✓ | — | — |
| Configure **Assistants** and maintain their knowledge | ✓ | ✓ | — | — |
| Mark calls as spam or delete them, block contacts | ✓ | ✓ | — | — |
| **Company**, **Phone numbers**, **Team**, **Integrations**, **Data & privacy** | ✓ | ✓ | — | — |
| **Billing**, having the account deleted, two-factor requirement for everyone | ✓ | — | — | — |
| Personal pages: **Account**, **Notifications**, **Security**, **Appearance** | ✓ | ✓ | ✓ | ✓ |

That a **Member** does not see **Reports** is intended.

## You cannot see a setting

The dashboard hides whatever your role may not do. There are no greyed-out buttons and no locked menu items. So if a page or button a guide mentions is missing for you, your role is usually the reason. Who may carry out a task is shown at the top of every page of this help.

In that case, ask the owner or an admin to give you the right role.

## Change a role

1. Open **Settings › Team**.
2. In the person's row, pick the new role under **Role**.
3. The change applies immediately. You see **Role changed**.

To add someone, click **Invite** and choose their role in the same step. The invitation is valid for 7 days. From the row's menu, **Send the invitation again** sends it once more. How many people your plan includes is under [Invite your team](https://scoco.ai/en/docs/invite-team/#plan).

If someone should lose access, choose **Deactivate member** in the row's menu. They can no longer sign in. Their calls, notes and assignments are kept, and **Reactivate member** gives the access back.

If someone has lost their phone and their recovery codes, choose **Reset second factor** in the row's menu. An admin can do this for anyone except an owner. What happens is described under [Lost your second factor](https://scoco.ai/en/docs/sign-in/#lost-second-factor).

## Transfer ownership

Only an owner can grant the **Owner** role.

1. Open **Settings › Team**.
2. In the new person's row, pick **Owner** under **Role**.
3. Confirm with **Transfer ownership**.

That person becomes the owner and you become an admin. If the second part fails, the account has two owners. The dashboard tells you so, and your own role can then be adjusted.

## Two-factor confirmation for everyone

Only the owner can set this.

1. First set up your own two-factor confirmation: under **Settings › Security** with **Set up 2FA**, or with a passkey.
2. On the same page, in the **Two-factor requirement** card, turn on **Require two-factor confirmation of every member**.

Anyone who has not set it up is taken to the setup the next time they open the dashboard and cannot do anything else until they have. Each person sets up their own under **Security**. A text message does not count as a second factor.

## Common problems

**A row has no role picker.** The last active owner cannot be demoted or deactivated. And as an admin you cannot change an owner's row.

**“Owner” is not offered.** You are an admin. Only an owner grants that role.

**The “Two-factor requirement” card shows no switch.** Set up your own two-factor confirmation first, or you would lock yourself out.
