# Read your reports

> Reports show in four tabs what became of your calls, what callers talk about, how well your assistant works and how many minutes you have used.

https://scoco.ai/en/docs/reports/

**Reports** show what your assistant achieves over weeks and months. This page explains what each of the four tabs shows, how the worked example of your benefit is calculated, and who sees the reports at all.

## Who sees the reports

An **Owner**, **Admin** or **Viewer** sees all four tabs, **Usage** included. A **Member** sees no reports. The menu item is missing for them, and that is by design. Two things only an **Owner** or **Admin** can do: change the assumptions in the worked example, and add an answer under **Topics**.

## Period, assistant and export

At the top you choose the **Period** (**Last 7 days**, **Last 30 days** or **Last 90 days**, 30 by default) and one assistant or **All assistants**. The assistant applies to every tab, the period to all except **Usage**, which counts by month. **CSV** downloads every call in the period as one row. In English it uses commas and decimal points; in German, semicolons and decimal commas for a German Excel.

If the period had fewer than 20 calls, every tab shows **Not enough calls yet for reliable analysis**. You then see counts, but no trends and no worked example.

## Overview

- **What became of your calls**: **Calls total**, of which **Answered**, of which **Handled without you** and **Appointment / job**. A call counts as handled when the assistant closed it on its own, with an answer, an appointment, a decline or a message. Transferred and missed calls do not count. A call that only got an announcement, for example to a [switched-off assistant](https://scoco.ai/en/docs/several-assistants/#silence), counts in **Calls total** but not as **Answered**.
Below the numbers you see how they changed against the period of the same length before. Whole days up to yesterday are compared, because today is still running: **Calls total** in percent, **Handled without you** in percentage points, **Appointment / job** as a difference. If the period before had fewer than 20 calls, the comparison is left out because it would say nothing.
- **Calls over time**: calls per day, or per week at 90 days, split into appointment, message, answered question, transfer and **Other**. Hover over a bar, or tap it, to see its numbers. A lighter bar is not complete yet: today, the current week, or a week that starts before the period does. With fewer than 20 calls in the period, the chart is left out.
- **Outcome distribution**: how many calls had which result.
- **Calls by time of day**: a week grid by day and time. If business hours are configured, a line below says what share came in outside them.
- **Your benefit — a worked example**: see below.

## The worked example

The card calculates with two values you set yourself:

| Assumption | Default | Multiplied by |
|---|---|---|
| **Average job value** | €250 | booked appointments + messages taken |
| **Value of a working minute** | €0.80 | talk minutes of the calls the assistant handled on its own |

If a plan is on file, the card names its price for comparison. An **Owner** or **Admin** changes both values right in the card and keeps them with **Save assumptions**. They then apply to the whole account. The result is a worked example, not a promise: not every enquiry becomes a job.

## Topics

**What callers talk about** groups your callers' concerns into topics, with a count, a **Trend** and the **Most common phrasing**. Topics appear once at least 20 calls within 90 days have been analysed.

**View calls on this topic** opens the matching calls in the **Inbox**. If your assistant had no answer to questions on a topic, the topic says so. With **Add an answer**, an **Owner** or **Admin** writes the answer straight into the knowledge base. It applies from the next call.

## Quality

- **Quality over time**: a score out of 100 from your test calls. Real calls are not scored. **Checks** shows how often, for example, the greeting with the AI disclosure or capturing the callback number worked.
- **Flagged calls**: real calls whose course was unambiguously notable, such as a failed transfer or a caller who said nothing.
- **Languages in the period**: which languages were spoken.

scoco does not analyse callers' sentiment.

## Usage

**Your plan** shows your plan and the minutes used in the chosen month against your included minutes. These are the same minutes your invoice counts. The **Per assistant** table splits calls, minutes and **Avg. duration**. Under **Month** you pick one of the last twelve months.

## Common problems

**The worked example is missing.** The period had fewer than 20 calls. Choose a longer period.

**No topics detected yet**. There are not yet 20 analysed calls within 90 days.

**“Quality” is empty.** There was no rated test call in the period. You start a test call from the assistant itself.

**A team member cannot find the reports.** They have the **Member** role. More in [Roles and permissions](https://scoco.ai/en/docs/roles-and-permissions/).
