# Invite your team

> Under Settings → Team you invite someone by e-mail and give them a role in the same step — the link in the invitation is valid for 7 days.

https://scoco.ai/en/docs/invite-team/

An invitation gives another person their own access to your scoco account. By the end you will know how to invite someone, which roles you can give, what the invited person has to do, and how to send an invitation again or lock an account.

## Invite someone

1. Open **Settings › Team**.
2. Click **Invite**. The **Invite a member** window opens.
3. Enter the person's address under **E-mail**.
4. Choose a role under **Role**. **Member** is preselected.
5. Click **Send invitation**.

The person appears in the list straight away, with the status **Invited**. The window does not ask for a name: the person enters it themselves when they accept.

## How many people your plan includes

The Starter plan includes one user; the larger plans have no fixed number. While you are in the trial and have not chosen a plan yet, there is no limit. Invited people count, deactivated ones do not.

Once every place your plan includes is taken, a note replaces **Invite**, and **Reactivate member** is not offered. As **Owner**, **Change plan** takes you to **Settings › Billing**. There you switch a plan you have already booked in the **Change plan** card, see [Change your plan](https://scoco.ai/en/docs/plans/#change). A smaller plan is possible only once no more users are active than it includes.

## Which roles you can give

Each role comes with its own permissions; there are no individual permissions. In the window, each role has one line saying what it can do. The full overview is in [Roles and permissions](https://scoco.ai/en/docs/roles-and-permissions/#permissions).

- As an **Owner** you can give any of the four roles.
- As an **Admin** you will not find **Owner** in the list. Only an owner grants that role.

You can change the role later in the team list, even while the invitation is still open. Choosing **Owner** in the list hands ownership over: the person becomes owner and the current owner becomes an admin.

## What the invited person does

The person receives an e-mail with a link. The link is valid for 7 days and works only once. On the page behind it they enter **Your name**, choose a password of at least 10 characters under **Set a password** and **Repeat password**, and click **Activate account**. If sign-in with Google or Microsoft is offered there, they can accept the invitation that way instead.

They are then signed in. A **Member** or **Viewer** lands in the **Inbox**, an **Owner** or **Admin** on the **Overview**. Your team list now shows **Active**. If you have made [two-factor confirmation mandatory for everyone](https://scoco.ai/en/docs/roles-and-permissions/#two-factor), setting it up is the first thing they do.

## Send an invitation again

Open the menu in the person's row and choose **Send the invitation again**. The person receives a new link, again valid for 7 days. From then on the old link no longer works. The menu item is only there while the invitation is open and the person is not deactivated.

## Take back an invitation or lock an account

An open invitation cannot be withdrawn, and team members cannot be deleted. Instead, you deactivate the person:

1. Open the menu in their row and choose **Deactivate member**.
2. Confirm with **Deactivate**.

The person can no longer sign in, and an invitation link that is still open stops working. Anyone signed in at that moment loses access with their next action in the dashboard. Their calls, notes and assignments are kept. **Reactivate member** gives the access back.

You cannot deactivate yourself, nor the last active owner. As an **Admin** you cannot change an owner's row.

If someone has lost their phone and their recovery codes, **Reset second factor** in the same menu helps. How it works is described under [Lost your second factor](https://scoco.ai/en/docs/sign-in/#lost-second-factor).

## Common problems

**There is already an account for that e-mail address.** An e-mail address can belong to only one scoco login, even across different companies. If the person is in your own list as deactivated, bring them back with **Reactivate member**. Otherwise invite a different address.

**The e-mail does not arrive.** Ask the person to check their spam folder. Then send the invitation once more with **Send the invitation again**.

**The person sees “This invitation has expired.”** The link is older than 7 days, has already been used or was replaced by a newer invitation. Send the invitation again.

**“Owner” is not offered.** You are an admin. Invite the person with another role. If they should become owner, the current owner hands the role over in the team list and becomes an admin.
