# Data retention

> scoco keeps no recordings, only text: it deletes transcripts after 7 to 90 days and calls with their summaries after 12 to 36 months — you choose the periods.

https://scoco.ai/en/docs/data-retention/

scoco deletes conversation data automatically, after periods you choose yourself. By the end you will know what scoco keeps and for how long, how to change the periods, what a shorter period does straight away, and whether Ask scoco may search transcripts.

## No recordings, only text

scoco does not record calls. What it stores is text: the transcript, meaning the written-down wording of the conversation, and the summary with the details captured. The **Call recording** card under **Settings › Data & privacy** shows this as a fixed state: **Off — only text is stored: transcripts and summaries.** There is no switch for it.

## The two periods

| What | Setting | Choices | Default |
|---|---|---|---|
| Transcripts | **Delete transcripts automatically after** | 7, 14, 21, 30, 60 or 90 days | 21 days |
| Calls and summaries | **Call data & summaries after** | 12, 18, 24 or 36 months | 12 months |

Both count from the start of the call. When the transcript period is up, only the wording goes, and with it its translation if the call ran in another language. The call and its summary stay in the **Inbox**.

After the second period scoco deletes the call entirely, with its summary, notes, history and the appointment entries scoco stored for that call. Text messages and your conversations with Ask scoco are deleted after the same period. Your contacts stay until you delete them yourself.

**WhatsApp conversations** follow the same periods: scoco deletes the messages' wording like a transcript after the first period, and the conversation with its summary after the second. scoco does not store photos, voice messages or files at all.

The minimum is 12 months because scoco produces your monthly invoice from the call data. One period is fixed as well: the webhook delivery log covers the last 30 days. And scoco deletes the settings of a [deleted assistant](https://scoco.ai/en/docs/several-assistants/#delete) for good 30 days after it was deleted; its calls follow the periods above.

## Change the periods

1. Open **Settings › Data & privacy**.
2. In the **Retention** card, choose the new values.
3. Click **Save**.

> **Warning:**
>
> A shorter period deletes older data as soon as the following night. That cannot be undone. Encrypted backups expire on their own after six months at the latest and are never used to restore deleted data.

Deletion runs every night. A longer period does not bring back anything already deleted. If you need a transcript for longer, keep a copy before you shorten the period: open the call in the **Inbox** and choose **Export transcript** from the **More actions** menu.

## Ask scoco and transcripts

On the same page, the **Ask scoco** card decides whether Ask scoco also reads transcripts when it answers your questions. The **Ask scoco may search transcripts** switch is on by default.

- **On:** Ask scoco searches transcripts, but only within your transcript period.
- **Off:** Ask scoco answers only from call summaries and captured details — and, if you are an owner or admin, from your assistants' settings, rules and knowledge.

This change, too, takes effect with **Save**.

## Common problems

**An older call has no transcript any more.** The transcript period is up. The summary and the captured details are still on the call.

**Ask scoco cannot find a conversation.** If it is older than your transcript period, its wording no longer exists. If the switch is off, Ask scoco does not search transcripts at all.

**You cannot go below 12 months.** That is intended; otherwise the monthly invoice could no longer be produced.

**A single call should go right away.** Open it in the **Inbox** and choose **Delete call** under **More actions**. That deletes its transcript, summary and history from scoco immediately. Only an **Owner** or **Admin** sees this item.
